Database Instructions

Client information that is inputted into the database by you is completely secure and cannot be accessed by anyone including the NarpsUK staff. When used correctly the database will prove invaluable to your business by storing all of your client details, pet details, booking dates and costs. The front page of the database will show all existing and future bookings at a glance so that at any moment in time you can see exactly what is going on in your business and what work you have. Past bookings can be accessed from the client’s information.

Follow the instructions below to start using your database now.

The first thing you need to do to begin using the database is to input your client’s details, you do this by clicking on the ‘owners tab’ at the top of the screen and then click on add owner, in here the notes section is useful for recording information about the owner – not the pet, for example if you had payment problems  you might want to write (collect payment on delivery date) or if the client does not drive and you picked up the dog for an additional cost you could make a note of it here, etc. When you have finished filling in the client info click on submit.

The client information page will reappear but now when you scroll down the page you will see information boxes for their pet, fill this in and again make notes about the dog’s behaviour etc. so that if it comes back next year it will remind you of any traits you need to be aware of for example: digging garden, messing in home, barks a lot, not social with other dogs etc. When you have finished this you should click on update to save this information, you can scroll down again and add another pet if you need to or if there is only one pet then you can click on back to browse owners and add the next client.

You should now input all of your clients and pets onto the database by clicking on ‘add owner’ and any new clients that you get.

Add Bookings

To add a booking to a client you need to click onto the bookings tab next to their name and then click on ‘add booking’, here you will fill in all of the booking information for any future bookings (or past if you want to). If you have helpers there is a field that will allow you to input the name of the pet sitter who you contracted the work out to. The fields on the booking page are very flexible and you can change any information by clicking on the field and changing it. There is a cost calculator so if you input 18 days at £23.00 per day and click on calculate it will input the £414. automatically, however if you need to deduct say £20.00 because they supplied their own food then you can click into the box and change this to £394. You only need to input the information that is relevant to you but the information fields that are available are as follows:

Client name,  Pet or pets names,  Boarded With ,  Booking Date,  Start Date, End Date,  Service Provided,  Drop-Off Time,  Pick-Up Time, Walk Time,  Duration of Walk,   Cost per day (£),  Days (to calculate Total Cost),  Total Cost (£),  Deposit Paid (£),  Date Deposit Paid.  Balance Paid  No Yes,  Date Balance Paid,  Cancelled  No Yes,  Cancellation Fee (£),  Date Cancellation Fee Paid  

There is also a reports section that will show all, deposits paid, outstanding fees, cancellation fees etc.
